Corporate conferences are often filled with some ultra heavy programming which require meticulous planning. You have general sessions, and you have breakout rooms, technical details may vary but level of importance does not. When speakers don’t ahdere to their time slot, the entire day can be derailed, complete with your programming out the window. Your audience gets bored and antsy, some folks even get up & leave to “make calls”.

Sometimes, however, a simple solution is the best one. Speaker timers are our go to remedy, and a reliable one at that! Your audio visual staff will likely not feel comfortable interrupting a speaker just to stay on schedule but if there is a timer in place, they wouldn’t need to!

We’ve done our research on conference tips & trends and have come up with our top 4 pro tips. Think outside of the box here, folks, as we dive into wellness, participation, different learning styles and human emotions.

It’s no suprise that “Event producer” is consistently listed as one of the most stressful jobs in the world. This truth has brought to light the importance of health and wellness not only for the event producers but for planners and attendees as well. It’s exhausting to be ‘on’ all day no what your role is during a conference. Amenities such as water stations, snack stations (with breaks long enough to enjoy said snack!), and aromatherapy are are all some ideas to assist with wellness. Artificial light contributes to feelings of fatigue, consider natural light areas or breaks which encourage everyone to get outside for at least 10 minutes.

Guests tend to want to interact with the event content and get involved, so its always a good idea to schedule interactive elements into your conference. There are many ways to do this, interactive presentation anyone? Studies have found that attendees want to be able to tell a story, to be in the know, and to share an interesting experience post conference. Regardless of the event type, attendees want to feel the power of choice, freedom, friendship, and accomplishment.

Some of the most effective conferences have a perfect mix of structured networking and unplanned moments, both of which achieve different goals and accommodates different personality types. To promote learning, retention, and positiveness for all participants, regardless of learning style, should be top priority. Being cognizant of the differences between introverts and extroverts, is crucial in creating a mix of session types and discussions! Optional 20-minute small-group breakouts after each speakers’ presentation for those extroverts and that 20 minutes could be used as a breather outside for introverts!

Even at a work conference, people want to FEEL. It’s almost extinct these days; human interaction face to face. We have found it to be important for companies to bring that level of humanness to their brand. Encourage conversation about company morals or having vignettes placed around the conference center showcasing a charity the company supports.

Corporate event planning includes a wide range of different event formats. So its no suprise that planning these various event types will require attention to different sets of details. Luckily, Fox AV knows all the things!

Let’s consider the social events such as awards dinners, golf outings, team building and holiday parties! All of which are more fun than informative, right? Then we have the more goal-specific events like town hall meetings, business updates, as well as investor presentations, just to touch on a few.

As for the social events category event, our planners have a bit more freedom, creatively speaking. There is less focus on time management efficiency and a bit more wiggle room so to speak. We generally can get a bit more creative with ambience as well!

For the goal-specific events group, planners are tasked with providing the structure to deliver the most content in the shortest amount of time thus maintaining “control” over the entire day.

Wondering our process for corporate events? Our corporate event production includes technical design and planning, audio, video, and lighting equipment setup, recording, technical staffing and post production wrap up.

Step one, we meet (or schedule a call) with your team to develop the concept and goals for your event. Working within a budget? No problem, we are willing to work with you on pricing options. Next, we do a site visit! This is important in order for us to create a floor plan. Then, we will present the very best equipment and staffing solutions that best match your budget and the specifics of your event space.

Our team continues to work with you, once the event is confirmed, to schedule and coordinate rehearsals/deliveries. We’re also prepared to make any last minute adjustments to make your event a total success. AV team members operate audio, video, and lighting equipment while maintaining contact with you throughout the event!

Once the event is over we breakdown, pack, and remove all audio visual equipment, it’s like we were never there! Our AV team will help you edit and create  clips to use in the future!

October is a fun and festive month filled with pumpkins, cinnamon spices, and costumes! At Fox Audio Visual, we celebrate Halloween for as long as possible. Its our favorite holiday, EEK! We see no reason children should have all the fun with this spooky holiday! Adults in the corporate workplace can have equal amounts of fun during the day. We have came up with a few ideas!

You could host a staff costume party! It doesn’t have to be anything elaborate to get in the spirit of this glorious holiday. This is a great way to get coworkers to interact and not just over same ol’ business related conversations.

Time for a “coffin” break! Which you could take during a Halloween breakfast or lunch. Who doesn’t want to enjoy some festive fall eats during the work day? Defiantly a morale boost!

Audio Visual Production Misconceptions

We wanted to chat about some of the most common misconceptions about the audio visual production industry. “Its just lights so it should be cheap, right?” or what about “The cost of labor is too expensive!”, and “This isn’t complicated so anyone can set it up”.

Lets look at lighting. This is a major aspect of event production, event atmosphere depends on it! Lighting sets the mood and ties all the décor together for your event. The lights we use to create magic are of a super specialized technology which require a lot of maintenance and upkeep!
